Where hotels lose money, and what happens instead

Void approval

A guest pays cash. Ten minutes later the order is voided and the money never reaches the till. A void asks for a supervisor’s PIN, records who approved it and why, and shows up on the cashier report the same night.

Rate and discount control

A room goes to a “friend of the house” at half the rate. Nobody upstairs ever hears about it. Discounts above the limit you set need a manager. Every room sold under its rate is listed for you the next morning.

One availability

A website sells the last room you gave a walk-in an hour ago. Someone will be turned away at the door. The front desk, your website and your booking sites draw from one room count. A room can only be given to one guest.

Purchase order match

You ordered twelve cartons and paid for twelve. Ten arrived. The difference is found at stock-take, if at all. Every purchase order is compared with what was received and what the supplier billed, line by line, with the shortfall flagged.

The guest has left for the airport. The restaurant brings last night’s bill to reception twenty minutes later. Restaurant, bar and laundry bills land on the guest’s room bill the moment they are raised. One bill at check-out, nothing missing.

Front desk: Check in a walk-in, a reservation or a whole wedding party.

Reception sees which rooms are clean and free, takes the guest in, and the bill starts itself. Groups arrive on one booking with one master bill. Company guests are checked against the credit their employer is allowed.

Restaurant & bar: Take the order at the table. The kitchen already has it.

Waiters order on a phone, tablet or till. The kitchen screen shows what to cook and in what order. The bill can be paid, split, charged to a room or charged to an event — and stock drops as each item is sold.

Housekeeping: Reception stops phoning upstairs to ask if 214 is ready.

Room attendants mark rooms from their phone. Reception sees the room turn clean on its own screen and can sell it straight away. Laundry, room keys and maintenance are recorded against the room.

  2. They are in the room in minutes. Reception finds the reservation, confirms the room, issues the key card and a Wi-Fi ticket. A group checks in together on one booking.
  3. They scan the QR code in the room. Room service, the menu, requests and messages open on their own phone with nothing to install. A WhatsApp message from the guest reaches your front desk inbox.

How long does it take to go live?

A front desk and POS setup is usually live within two to five working days. Adding door locks, booking sites and a full chart of accounts typically takes one to three weeks, depending on the size of the property. We set it up, load your rooms, menu and stock, and train your staff.

What happens when the internet goes down?

The Windows till keeps taking orders and printing receipts with no connection, and sends everything to the cloud when the connection returns. The web and phone screens need a connection, so most properties run the Windows till at their busiest outlets.

Do we have to replace everything at once?

No. CraneSoft is sold as modules. Many hotels start with the front office and the restaurant POS, then add inventory, accounting, HR and the rest when they are ready. What you add later connects to what you already use.

Will my staff be able to use it?

Each person sees only the screens for their job: a waiter sees tables and orders, a room attendant sees rooms to clean. Training is part of every setup, and the software shows staff what changed after each update.

Can I run it from my phone?

Yes. Owners and managers have an app for figures, statements and approvals. Waiters take orders on Android. Housekeeping marks rooms on a phone. Guests use their own phone for the menu, room service and payments, with nothing to install.

How does it stop money going missing?

Voids, discounts, price changes and deletions can each require a supervisor’s PIN, and every one is recorded with the name of who did it and who approved it. A Revenue Protection report puts them on one screen with free stays, rooms sold under rate and guests who left owing.

Which payments and systems does it connect to?

Online payments through Paystack and Opay, including payment links. WhatsApp, SMS and email messages to guests. Electronic door locks, guest Wi-Fi on MikroTik routers, receipt and kitchen printers, and booking sites through the channel manager.

Is my data kept separate from other hotels?

Yes. Each business has its own database. Staff sign in with their own account and can only do what their role allows, and every sensitive action is written to an audit trail.

How is it priced?
